SMARA Executive Board Meeting, July 1, 2010

Officers present were President JJ MacMurray (N2UZQ), Vice President Dan Miller (KC2VEX), Secretary David Stark (NF2G), Treasurer April Chinski (KC2VWW), Station Trustee Tony Pazzola (W2BEJ).

Meeting called to order at 19:57 by President.

Treasurer's report read by April Chinski.

Checking $795.20

Petty Cash $139.93

Total Cash On Hand 935.13

Repeater Fund $222.00

Refreshment $46.00

Checking balance includes dues at new rate.

SMARA budgeted $200.00 for Field Day expenses. We spent $184.54 and took in $140.00 from attendees for food, leaving the total cost of Field Day to the club at $46.54.

Radio Room report - Club Station will be closed until reassembly after Field Day. Mike Maloy was planning to work on the station on Saturday, July 3. (Note: That date has now passed and the Board is aware that Mike did not receive much support from the membership during the holiday weekend.)

OLD BUSINESS

Field Day
26 attended, 12 operated stations, 2 cooked and served food.
New 20 meter beam performed well. We made 2 satellite contacts. Total score will be calculated by general meeting.

Inventory
April emailed Chris Hunter requesting an appointment in August for inventory of SMARA property in Museum storage.

Program
Changed date - general meeting will be on Thursday, July 29, by popular demand. Newlyweds JJ and April will be back by then.

Club "Tailgate"
Might be a good August or September activity. With notice, Chet (WB2LUQ) can get the Antique Radio Club to join in.
NEW BUSINESS

PayPal Account
The current Board only recently became aware of this account as we heard from new members who wondered why we had not acknowledged that they had joined and paid their dues. The account is being managed by our past treasurer Tim Moody temporarily because he has access to it. SMARA still needs to be added as an authorized party, then our current treasurer can handle it.

New Members
SMARA has not done much lately to welcome new members or even to let them know that we noticed them. The Board intends to remedy this by composing a welcome letter (to be submitted by Secretary at next Board meeting) and a packet of information to accompany the letter - some sort of flyer, a picture of a SMMARA photo ID with information on how to obtain one, officer contact information, etc. Any correspondence from SMARA should be on club letterhead. Treasurer is searching archives for any sign of an existing SMARA letterhead. We will use a temporary version until a new club logo is approved.
Newsletter
Most other clubs have some sort of regular newsletter that they mail to members. The Board will poll members to see how many are interested in receiving a SMARA newsletter, now often it should be published and, most important, who would volunteer to EDIT a newsletter.
Elections
The President will appoint an Election Committee in September per the club constitution. Any member is eligible to serve on the committee except for current officers. Contact JJ if you want to be on the Election Committee. All current officers plan to stand for re-election as of now.
The next Board meeting will be on Thursday, August 5.
